All prices by default are in Ksh and are to be intended per person if not otherwise indicated.

CONFIRMATION & Deposit

We advise you to confirm your event at least Two days in advance to make sure that you have your room blocked by paying  50% of  your total bill and the rest must be cleared at the  end or before the end of the event.

Payments

Unless you have a preauthorised credit account with the Acacia premier, settlements for services stipulated including VAT,catering levy and service charge are to be transferred to Acacia account  two days before the day of the function . Expenses on transferring the money and on any bank commission fees are borne by the guest. Any extra expenses during the event which are not forseen have to be paid at the end of the event unless you have a credit facility with Acacia premier.

Cancellation POLICY

The cancellation policy is in line with the confirmation of your event. If you cancel your event before confirming, there will be no cancellation charges. Once the event is confirmed by paying 50% of the total forecasted cost and the event is cancelled, the confirmation amount will cover for the preparation loses the hotel would have incurred.

Cancellation at Two Working Days Prior- 50% of  Total Potential Revenue

Cancellation at One Working Day Prior-   75% of  Total Potential Revenue

Cancellation at 12 Hours Notice             – 100% of Total Potential Revenue

MEAL SUBSTITUTIONS

It is our pleasure to accommodate any requests due to dietary restrictions. These requests must be provided two working days prior to the function. Requests received within Two dayS period will be added at an additional charge over and above the guaranteed number of meals.

FOOD & BEVERAGE

Kindly note that dishes on the menus are subject to seasonal change and availability of products.

Wines are subject to vintage and stock limitations throughout the year.

A selection of wine and drink packages are readily available to accompany your menu.

Our sommelier will also be able to offer a selection of wines if required.

If you wish to bring your own beverages, a corkage fee will be applicable for a limited number of bottles.

Corkage fee for the spirit  Ksh: 4000.00

Corkage fee for the wine Ksh: 2000.00

CONFERENCE  LUNCH

You will need to have a minimum of 12 people to have the business working lunch as a part of your conference package and a minimum of 25 people to opt for the buffet. In the case you being less than 12 people we will be offering you a la carte menu’s to choose from and the same will be served in one of our restaurants.

RATES VALIDITY

This catalogue has been designed to ease and quicken your quoting process; nevertheless, please check in advance with our Sales Team the feasibility of each function (date, equipment, menu…)

The pricing of this catalogue is valid only for groups from 12 to 300 persons. For either smaller or larger size groups please contact us directly.

SIGNAGE

The  Hotel will be providing signage and direction to the conference & event rooms at its own cost. The Hotel will not allow any banners, posters, pictures, frames, to be fixed in the wall; pillars or doors. Other promotional material can be set up after approval of the hotel. If there are any damages occurred to walls, pillars doors or floor covering during set up or at the time of the event, due to negligence, charges for re-fixing/repainting will be borne by the customer.

STORAGE/ DELIVERY

All incoming products should be addressed with the name of the person Handling  your event, the name of the group and the date of the program. Please advice us of any shipments in advance.

DECORATION

The Hotel will do the basic set up in the event room. Flower decoration and any special request will have to be organised from outside. The guests have the freedom to organise their own decoration with a prior permission form the Hotel and will be responsible for any damage to the building and equipment done by the external decorator. The Hotel will organise decorators that suite the guest needs and will take complete responsibility to make it happen in the way you need. The charges will vary depending on the volume and specifics of the decoration.
